What is in the template?

The Excel template has one sheet per month, with:

  • a header for your name, the client or company, the month and the year;
  • a row per day, with the date and weekday that follow automatically from the month and year (so a month of 28, 30 or 31 days always comes out right), and weekends in grey;
  • columns for the project, a description, the start and end time and the break;
  • the hours per day, calculated from start, end and break, even past midnight;
  • the month's total and the number of days worked;
  • a hours per project table that adds up per project name;
  • two signature boxes, for the employee and for the client or manager;
  • a second sheet with instructions.

The PDF is the same form to print and fill in with a pen: an A4 page with a row per day, a total and the signature boxes.

How to use the Excel template

  1. Download the template

    Choose the Excel template above. It opens in Excel, LibreOffice and Google Sheets.

  2. Fill in the header

    Your name, the client or company, the month (1 to 12) and the year. The current month and year are filled in by default; the dates and weekdays in the table adjust automatically, and weekends turn grey.

  3. Log your hours per day

    For each day: the project, a short description, the start and end time and the break in minutes. The Hours column works it out: 8:30 to 17:00 with a 30-minute break becomes 8.00. Not using start and end times? Type the hours straight into the Hours column.

  4. Check the totals

    At the bottom you find the month's total and the number of days worked. Type your project names under Hours per project, and the template adds up the hours for each project.

  5. Print and get it signed

    The sheet is set up to fit on one A4 page. Print it, or save it as PDF, and have the employee and the client or manager sign it.

The formulas, if you want to know how it works

You don't need to touch them, but this is how the template calculates:

WhatFormula (English Excel)
Date of day 1 to 31=IF(1<=DAY(EOMONTH(DATE(year,month,1),0)),DATE(year,month,1),"")
Hours for a day=ROUND((end-start+(end<start))*24-break/60,2)
Month total=SUM(H7:H37)
Days worked=COUNTIF(H7:H37,">0")
Hours per project=SUMIF(C7:C37,project,H7:H37)

The (end<start) part adds a day when you work past midnight. In Excel set to another language, the functions have translated names and the arguments may be separated by semicolons; Excel converts that for you.

When an Excel timesheet is no longer enough

An Excel template is fine for one person or a small team with a handful of clients. It starts to pinch when:

  • several people fill in a sheet every month, and someone has to collect and add them up;
  • the hours also need to go into your ERP, such as Odoo Timesheets, so someone retypes them;
  • you want to know how many hours a project has used before the month is over;
  • a project manager has to review and approve the hours before they go to the client.

Then you end up typing the same hours two or three times: in Excel, in Odoo and on the invoice.

The next step: TimeViking

If you work with Odoo, TimeViking does what this template does, without the double work:

  • your team logs hours with a week calendar, a weekly grid, quick entry, a timer or the phone app;
  • the hours go automatically to Odoo Timesheets, on the right employee and the right project;
  • the app builds the monthly PDF per employee from those hours, in your own branding, with signature boxes;
  • you export overviews per project, client or person to Excel or CSV;
  • and the project manager approves the weeks before they go to the client.

Frequently asked questions

Is the template really free?

Yes. You download it without signing up and without an email address, and you may adapt it and use it freely within your company.

Does the template work in Google Sheets or LibreOffice?

Yes. The formulas use standard functions (DATE, EOMONTH, SUMIF, COUNTIF) that Excel, LibreOffice and Google Sheets all know. They appear in the language of your software.

Can I log more than one project per day?

Yes. Insert a row inside the table below the day and fill in the project and hours. The totals and the hours per project include it, as long as the row is inside the table.

Can I import the hours from this template into Odoo?

The template is designed to be printed and signed, not imported. If you want the hours in Odoo, an app that syncs directly with Odoo is far less work; see Odoo Timesheets.

How is this different from the monthly PDF in TimeViking?

You fill in the template yourself. In TimeViking, the app creates the monthly PDF per employee from the hours that are already logged, in your own branding, with signature boxes. No retyping.
