The timesheet app on your phone: log hours where you work

At a client, in a meeting or on the train: if you log your hours straight away, you don't forget any. The TimeViking phone app sits on your home screen with one tap, works without a connection and sends the hours to your Odoo as soon as you are back online.

Why log hours on your phone?

Hours you reconstruct at the end of the week are rarely complete. A quarter of an hour on the phone here, half an hour of travel there: it all disappears. People who log their hours as they go record more hours and more accurate hours, and you see that on the invoice.

At the office you use the week calendar or the weekly grid. On the move you want something else: one field, one button, done.

What the phone app does

The app has four screens, one tap away at the bottom:

  • Today: a timer, today's hours and the quick entry field. Shortcut buttons for 15 minutes, half an hour, an hour and more create a line without typing.
  • Week: your hours per day, your total against your schedule from Odoo, and the button to submit the week.
  • Tasks: your tasks from Odoo, with a button to start the timer on that task right away.
  • More: your language, switching company, adding the app to your home screen, opening the full app and signing out.

The app is available in English, Dutch, French and German.

Quick entry

The quick entry field understands a sentence the way you would say it to a colleague:

You typeThe app turns it into
2h30 website meeting2.5 hours today, project Website, description "meeting"
9-12:30 #support tickets9:00 to 12:30, project Support
yesterday 1.5 abc review1.5 hours yesterday, on the project starting with ABC

You see what the app is going to save before you press Enter. If in doubt, it offers you a choice. Prefer tapping? Pick a project or task, a shortcut button for the duration, and save.

Without a connection: the queue

In a basement, on site or abroad, there isn't always a signal. The app is built for that:

  • Hours you enter without a connection are stored on your device, in a queue.
  • You can see how many lines are waiting.
  • As soon as you are back online, the app sends them automatically.
  • Every line has its own reference. If the connection drops just after a line was sent, the server does not create a second line when the app tries again.

Signing in and loading your week do need a connection. So sign in while you have a signal; after that you can carry on offline.

On your home screen in four steps

  1. Sign in on your phone

Open your phone's browser and sign in with your usual account, with Google or with Microsoft. You need an account in a TimeViking environment; your administrator invites you, or you start for free.

  2. Add the app to your home screen

On Android, tap More in the app and then Add to home screen, or choose Add to Home screen in the Chrome menu. On an iPhone, tap Share in Safari and then Add to Home Screen.

  3. Choose your company

If you work for more than one company, you choose it once. The app remembers it.

  4. Log your first hours

Type, for example, 2h30 website meeting and press Enter, or start the timer. The line appears in your day straight away and goes to Odoo.

From phone to Odoo

The phone app uses the same connection as the rest of TimeViking. Every line lands in the timesheets of your Odoo, on your own employee, the right project and the right task. You don't need an Odoo login yourself. Each line shows whether it is already in Odoo.

How the connection works is explained on the Odoo integration page; what differs per Odoo version, on the Odoo Timesheets page.

Secure, even on a shared device

You sign in with your usual account, optionally with two-factor authentication or with Google or Microsoft. Every customer has their own database in the EU. The app does not store your hours on the device: only lines that still have to be sent wait there briefly.

Frequently asked questions

Do I have to download the app from the App Store or Google Play?

No. The phone app is a web app (PWA): you add it to your home screen from the browser. It then opens without an address bar, like a regular app, and is always the latest version.

Does the app work without a connection?

Yes, for logging hours. Hours you enter without a connection wait safely on your device and are sent automatically as soon as you are back online, without duplicate lines. Signing in and loading your week do need a connection.

Do the hours from my phone end up in Odoo too?

Yes. Every line goes to the timesheets of your Odoo, on your own employee, just like the hours from the desktop app. Each line shows whether it is already in Odoo.

Can I submit my week on my phone?

Yes. The week view shows your hours per day against your schedule, and you submit the week with one button. Your project manager approves it; read more in approving timesheets in Odoo.

Does the phone app cost extra?

No. The phone app is included in every plan, including the free plan for teams of up to 3 users.
